ACCOUNT COORDINATOR (B2B)

ABOUT POSITION Your chief responsibility is to support the B2B Sales Team — specifically our Senior Account Executive— ensuring you are staying on top of the day-to-day tasks and planning ahead, ultimately making sure the BOXFOX team is set up for sales success and maximizing efficiency. This role is administrative but also supports sales and production efforts as well as client inquiries. As an Account Coordinator, you should showcase excellent communication skills, attention to detail, and ability to identify and quickly solve problems. You should also act proactively to address your managers’ needs.

RESPONSIBILITIES

Vet new leads, schedule calls, manage calendar for Senior Account Executive

Ensure AE is abreast of daily client meetings with short briefs and callouts

Assist AE with Enterprise client proposals revisions as needed

Support with invoice creation, inventory stock checks & reservations, and client web portal creation

Support with Netsuite data entry for sales order creation

Act as a point of contact for Production Team on all ongoing Enterprise orders

Provide exceptional customer service to clients, including but not limited to: timely logo & address deliverables, product substitutions, and address submission

Review, reformat, and flag issues with client address spreadsheets

Share order shipment tracking information with clients

Provide overflow support to Concierge clients during peak season, creating gifting proposals and managing orders from start to finish

Participate in daily sales meetings and weekly Production meetings

ABOUT YOU

1-3 years of professional work experience preferred; B.A. from 4-year university

Solid knowledge of Netsuite, Quickbooks, Salesforce, Keynote, MS Office & Google Drive

A proactive team player who thrives in a goal-oriented, fast-paced entrepreneurial environment

Detail-oriented, great follow-up, results-driven professional with outstanding communication skills; both internally to team and externally to customers

Ability to juggle competing priorities & demands

Must have excellent punctuality, attendance, and reliability

ABOUT POSITION Your chief responsibility is to service new leads & existing BOXFOX Concierge Pro customers through customer service and order production. This seasonal role is equally divided into client support and servicing, software admin data entry, and sales & production process collaboration during our peak holiday season. As a Concierge Sales Coordinator, you should showcase excellent communication skills, attention to detail, and an ability to identify and quickly solve problems.


RESPONSIBILITIES

Vet new leads, supporting Concierge clients with gifting proposals and inventory checks

Oversee lead follow up for Concierge clients, scheduling calls as needed

Advise on ordering and shipping speed recommendations based on expected delivery dates

Manage invoicing, Netsuite data entry for sales order creation, creating drop ship address worksheets

Provide exceptional customer service to clients, including but not limited to: timely logo & address deliverables, product substitutions, address submission, and rush order inquires

Act as a point of contact for Production Team on all ongoing Concierge orders

Share order shipment tracking information with clients

Understand the Concierge / Enterprise Corporate gifting business model, upselling service where appropriate and scheduling call for Sr. Sales Manager as needed

Participate in daily sales meetings and weekly Production meetings

ABOUT POSITION As the Seasonal Production Assistant, you’ll play an important role in supporting the successful execution of our Enterprise and Concierge orders during our busiest season. Working closely with the Corporate Production Manager, you’ll help coordinate the details that keep orders moving from production to fulfillment including tracking customized products, preparing shipping documentation, verifying addresses, and ensuring sales orders are ready for the warehouse team. You should be detail-oriented, adaptable, enjoy working in a fast-paced, collaborative environment, and know how to keep calm even when things don’t go “the right way”.

RESPONSIBILITIES

Support Corporate Production Manager with purchase orders, inventory stock checks and transfers, managing various logs shared with distribution center

Assist with tracking updates of product delivery, including customized products and collateral

Oversee client approvals for customized products related to their orders, communicating with clients on revision requests

Support with Netsuite sales order creation for partial shipments and rolling orders

Conduct address verification for domestic and international shipments, create shipping labels and templates for large-scale drop shipping, provide bulk shipping quotes for our Enterprise and Concierge orders

Generate tracking documents upon dispatch to share with Sales team 

Monitor damages and returns log, communicate with clients on RTS packages, providing timely updates and next steps to distribution center, create rework sales orders

Participate in daily sales meetings and weekly Production meetings


ABOUT YOU

1-3 years of professional work experience preferred; B.A. from 4-year university

Solid knowledge of Netsuite, MS Office & Google Drive
